How The Key collects information about you

You need to register to access the majority of the information on the Sites.

If you register with the Sites we will collect personal information about you, which will include your name, e-mail address, role and school details. This enables us to gather EduBase details about your school, so we can ensure that the information you see most prominently is most relevant to your school. We also use this information for reporting purposes to see what types of school are using the service.

Once you have registered you may provide us with additional contact details (email addresses and phone numbers) in your profile. This is so that we can contact you in a way that is convenient to you if you want us to.

On occasion, we will email the Lead User for your school and/or the individual (or body) who authorised or organised membership on behalf of the school, to inform them of the users who have registered at your school. We will also provide these details as and when they are requested by the Lead User and/or the individual (or body) who authorised or organised membership on behalf of the school. This is intended as a courtesy to them, and to help ensure that people who register are eligible to use the service.

We may collect general statistical information about visitors to the Sites for general reporting purposes and to help us develop the design and layout of our website to ensure that it is as useful and enjoyable as possible.


Cookies are small text files that are placed on your computer by websites that you visit. They are widely used in order to make websites work, or work more efficiently, as well as to provide information to the owners of the site.

Our system may issue cookies to your computer when you log on to the Sites. Cookies make it easier for you to log on to and use the Sites during future visits. How The Key uses personal information about you

We use information collected about your role and school to personalise your visits to our Sites.

We may use personal information collected about you to respond to you when you ask us to provide a service or to respond to a suggestion or complaint. Or we may contact you about elements of the service that you or your colleagues might find interesting.

We may use personal information collected about you to let you know about functionality changes to the Sites or changes to our terms of use.

If you give us your explicit permission to do so at the time of commenting on an article or asking a question, we may display your name and school in our acknowledgement of comments received. Otherwise you will be acknowledged anonymously using your role and a general description of your type of school and its broad geographical location.

We may provide aggregate statistics about use of the Sites and share such information with third parties, but these statistics will not include any information that could personally identify you or the content you have personally accessed.


If you agree when you register, or indicate your willingness on your profile, we may contact you to take part in research to evaluate the service.

How The Key looks after your information

We follow strict guidelines in the storage and disclosure of personal information and communications that you have given us in order to prevent unauthorised access.

When do we give your information to other people?

We do not give your information to other people and if we wish to we are obliged under the DPA to obtain your prior consent, except that we reserve the right to access and disclose individually identifiable information (i) to comply with applicable regulations, laws and government requests, (ii) to be able to operate our systems and service properly, (iii) to protect ourselves or our users, (iv) if we notify any change in this privacy policy, (v) if it is in your legitimate interests if we sell our business.
